Incendia Partners had the classic staffing operations problem: revenue data in Bullhorn, accounting data in QuickBooks, and the actual commission logic spread across manual spreadsheets. Each month required hours of reconciliation before Rob could trust the numbers.

  • Manual month-end close: commission processing could take up to 10 hours per cycle and depended on manual spreadsheet work.
  • Complex split logic: contract revenue, direct hire fees, recruiter margin, sales rep splits, and management fees all needed different calculations.
  • Data integrity gaps: deleted invoices, stale records, and statement mismatches between QuickBooks and Bullhorn created constant cleanup risk.
  • Limited profit visibility: Rob needed to know which groups were truly profitable after draws, management fees, tool costs, and splits, not just who booked revenue.

A financial intelligence portal for staffing operations

From the E.A.S.E. framework on our home page, Incendia maps to Expansion: Rob already had the data, but needed it turned into trustworthy managerial strategy for better GTM and hiring decisions.

Siah Labs built a custom portal around Incendia's actual business logic, connecting the systems Rob already used while replacing the manual finance work around them.

Phase 1: Unified revenue reporting

The Rev Report brought Bullhorn and QuickBooks context into one workflow, letting Rob toggle between detailed line-item views and grouped invoice views without rebuilding reports by hand.

Phase 2: Automated commission engine

The portal encoded Incendia's real compensation model, including management fees, recruiter margin, direct hire payments, contract revenue, and split ownership.

  • Management fees and gross margin logic: management splits and recruiter margin are calculated in the same system as the invoice data.
  • Data integrity checks: deleted invoices, QuickBooks statement mismatches, and stale Bullhorn records are flagged before they create payout risk.

Phase 3: Profit per employee visibility

Beyond commissions, the portal helps Rob compare top-line revenue to the costs directly associated with each recruiter, so team performance is easier to evaluate.

  • Overhead attribution: LinkedIn, Bullhorn, Microsoft tools, and other fixed costs can be applied to the right team members.
  • Strategic team comparisons: Rob can compare which teams are most lucrative after accounting for the costs required to support them.
